General product information

INFOPAY Enterprise is a Windows based program that incorporates a complete range of business applications required in all areas of payroll and human resources management. It provides the built -in intelligence to help you effectively manage all payroll / HR functions from recruitment to * not only processes your payroll efficiently with ease; it also provides you with access to General Ledger Interface. INFOPAY Enterprise is a fully integrated system with Human Resource Management System and Payroll Management System.

The two can be separated to function as independent modules of the same program.

HUMAN RESOURCES MANAGEMENT SYSTEM


The system is capable of the following:

* Store, analyze and report on personal data for individuals, departments and the Organization as a whole
* Store, analyze and report on remuneration data linked to each individual, department and Organization as a whole
* Store, analyze and report on career history
* Store, analyze and report on training received by each individual, department and Organization as a whole
* Store, analyze and report on holiday entitlement, leave taken and leave balances
* Store, analyze and report on absence due to sickness, study etc
* Store, analyze and report on performance management/ appraisals
* Store, analyze and report on Organization structure, and Assist with recruitment

Employee Management Module
Function: the management and development of employees. This handles

Personal Data Module
The system stores, analyzes, inquires and reports on personal data relating to employees.
Remuneration dataThe system stores, analyzes, enquires, and reports on static remuneration *er History
The system stores, analyzes, enquires and reports on the qualifications and career history of employees. This covers the period prior to joining and since joining the *ning Administration
Function: provide means of matching employee training needs with suitable courses and to keep record of training received by each employee during his or her career.

Leave and Absence Management
Function: to monitor leave taken and leave balances. Also to monitor absence due to a variety of reasons.

Job Management
Function: tool for redefining a job for evaluation, competency modeling, and Organization planning and organizational charting. This tool should assist in creating an effective personnel specification or competency model to be used in selection, assessment, appraisal and other *nization structure - the system should stores job descriptions for each position, records which positions are vacant and assist with succession planning.
Performance Appraisal Details - The system maintains the Staff Appraisal details.

Recruitment Management
Function: to support the key task of recruitment. These are
Print a full job description for vacant position including the minimum qualifications and experience
Hold copies of advertisement(s) used to publicize the vacancy either internally or externally
Handle all correspondence in terms of inviting candidates for interview, sending regret letters, issue of letter of offer, arranging medical check-up, contacting references, etc.

Reports
The system produces numerous management reports, which include:

* Leave analysis Report.


Payroll Management System
The Payroll Management System is designed to efficiently store and process payroll related data while complying strictly with Kenya's Labour and Tax laws. Employee data (Earning, Deduction, Tax position etc.) are processed in accordance with defined parameters to produce all of the reports required by a typical payroll office. These include Payslips, tax returns and Management payroll summaries. Its instructive to note that the payroll system processes for only the bona fide employees as defined by the Human Resources Management System. The system allows the user to define limitless earnings or deductions. It also handles effectively various loans and saving schemes. This payroll system produces a wide range of reports covering every area of an organization's payroll reporting requirements.

* Create multiple earning, deduction, loans, savings, lump sum , and benefits transactions from a standard transaction template
* Create multiple rates of normal and overtime pay
* Batch payroll postings - The system allows for payroll entries in *s should have rights to view and / or post to certain *r the batch entries have been approved as correct they are then posted to payroll transaction files. Posted batch entries are locked; no further adjustments are possible. Batch Listings for verification / audit authorizations is produced by the system.
* Control staff loans with automatic deductions and outstanding balance reports

* Affect global changes for employees linked to a specific employee profile
* Bank Remittances - Standard File Interchange (SFI) - Staff pay advice transfers can be recorded on electronic media (flashdisk) for onward conveyance to paying banks.
* Salary Scales - The salary scales can be organized in grades. Salary incremental dates can be set for each employee. The system automatically updates the staff basic salary at the end of review period. The increments are reversible.

Reports
Some of the reports produced by the system include:

Payslips
The system produces columnar type employee payslips in five configurations
- Single payslips
- Two payslips per page
- Three payslips per page
- Five payslips per page
- Company Totals
This report shows the total earnings, statutory deductions; other deductions and net pay in payslip format. This may be produced per department or for the entire company. This report is useful for General ledger posting purposes and for seeing the total payroll at a glance.
Cash List
This report shows the net pay for all the employees being paid by cash. A space is provided for the employee's * Payment Advice
This report shows the net pay for all the employees being paid through the bank.
Coinage analysis
This report shows the denomination breakdown of the net pays of all employees paid by cash with vertical totals for each denomination.
P9A Forms
This is the P9A Tax certificate for the current tax year in the approved format. This certificate bears a KRA reference number and may be submitted as-is. The P9A forms are complete with the benefits table printed as required.
P10A Forms Printing
This is the P10A tax report that may be submitted as-is.
N.S.S.F Summary
This report shows the NSSF deductions over the current payroll year in spreadsheet format with each employee on a single line showing deductions made in each month and the total annual deductions.
N.H.I.F Summary
This report shows the NHIF deductions over the current payroll year in spreadsheet format with each employee on a single line showing deductions made in each month and the total annual deductions.
Pension Summary
This report shows the Pension deductions over the current payroll year in spreadsheet format with each employee on a single line showing deductions made in each month and the total annual deductions.
The Payroll details are maintained for a period of three years or as specified by the
user.

Utilities Available include
